Alert Configuration
Alerts in Swift POS notify staff about conditions that need attention, such as low stock levels. This page covers how to configure alert behavior.
Low Stock Alert Settings
The primary alert type is the low stock alert. Configuration options:
| Setting | Location | Description |
|---|---|---|
| Threshold | Settings > General | The quantity at or below which an alert triggers |
| Polling interval | System default | How often stock levels are checked (5 minutes) |
Setting the Threshold
- Go to Settings > General
- Find Low Stock Threshold
- Enter a number (e.g., 10)
- Save
Any product with available quantity at or below this number will generate an alert. The threshold applies to all products at all locations.
Choose a threshold that gives you enough time to reorder. Consider your average lead time and daily sales velocity. A threshold of 2x your daily sales volume during the lead time period is a reasonable starting point.
Alert Display
Alerts appear in the POS as:
- Sidebar badge -- a red badge showing the count of active alerts
- Alert panel -- click the badge to see the full list of low-stock products
Each alert in the panel shows:
- Product name and variant
- Current available quantity
- The threshold it fell below
Acknowledging Alerts
Click Acknowledge on an alert to dismiss it. This removes it from the active alert list. If the product is still below threshold at the next polling interval, the alert will reappear.
Acknowledging is useful for:
- Items you have already reordered
- Intentionally low-stock items (end of season, discontinued)
- Items where a transfer is already in progress
Alert Permissions
Alerts are visible based on role:
| Role | Can See Alerts | Can Acknowledge |
|---|---|---|
| Cashier | No | No |
| Shift Lead | Yes | Yes |
| Manager | Yes | Yes |
| Admin | Yes | Yes |
Taking Action on Alerts
When you see a low stock alert, common actions include:
- Create a stock adjustment if you have unrecorded inventory
- Initiate a transfer from a location with surplus
- Create a purchase order to reorder from your supplier
- Check demand forecasting for suggested quantities
